Administrative Assistant
This position keeps the office organized and running. A remote bookkeeper currently serves New Song, and will continue to do so. The role we describe here is more diverse, and supports the day to day operations and programs. This role is committed to the New Song Sanctuary mission and values. Key Responsibilities
- Manage correspondences, answer inquiries, and handle income / outgoing mails.
- Schedule meetings, maintain calendars, and coordinate logistical arrangements.
- Handle the writing process for business, promotional, and technical documents.
- Maintain the records: volunteer hours, donors, guests, purchases and receipts. (We do have a remote bookkeeper, so your job would be getting receipts and records to him. And keeping copies of everything in the main office.)
- Manage revenue streams, sales, fundraising, and donor contributions.
- Transactional bookkeeping and accounts receivable/payable functions.
- Manage ordering and inventory.
- Collect analytical metrics and assist with compiling performance and situation reports.
- Assist with volunteer recruitment, scheduling, onboarding, and communication.
- Maintain serviceable office equipment and operate printers, scanners, and laminators.
Qualifications
- Time management, organization, and attention to detail.
- Interpersonal, communication (written/verbal), and teamwork skills.
- Proactive, flexible, and able to prioritize multiple deadlines.
- Available for occasional evenings, weekends, or holidays for events or projects.
- Trusted with confidential information.
Either possess the following skills or possess an eagerness and willingness to learn; coursework may be required.
- Business writing skills; technical and promotional a plus.
- Recordkeeping, bookkeeping, and supplies/inventory management.
- Basic computer skills (email, social media, documents, spreadsheets, databases).
- Experience in marketing, sales, fundraising, or public relations, a plus.
- Familiarity with nonprofit environments, a plus.
Work Environment & Physical Requirements
- Remote / office setting with light physical activities involving lifting; bending; standing; carrying and moving materials.
- Wooded resort setting involves walking on uneven terrain in all weather conditions and exposure to insects and wildlife.
